Why did Autopilot skip or not send an approved email?

Autopilot only sends an approved email when the lead's address passes a mail-server check, the lead has not replied and is not won or lost, your Sending Hours are open, today's ramp and your mailbox caps have room, and the email is due. The panel under the email in the Outreach Queue and the lead's Outreach Activity trail say which one is holding it back. You can always send it from your own inbox and click Mark As Sent.

Where to look

  • In the Outreach Queue, the panel under an approved email reads Approved. (Autopilot will send it, and says when), Approved, but Autopilot skipped it. (the address did not pass the check) or Approved, not sent. with the reason Autopilot will not send it.
  • In the lead's panel, under Outreach Activity, a skipped send shows as a line starting Autopilot did not send the day 3 email: and the reason, at most once a day per email.

If the panel says Outreach Autopilot is off, so you send it from your own inbox., turn on Auto-Send.

The reasons

The address failed the mail-server check

Autopilot re-runs the mail-server check right before each send and skips the email if it fails, rather than send into a domain with no mail server. The check looks at the address and its domain, not the inbox itself, so it cannot promise the email will land. It sends as soon as the address passes. See what a failed check means.

The address is a placeholder

An example address from a website form, such as user@domain.com, is never sent to. The trail says it is a placeholder, not a real inbox. Edit the lead's email to send. Click Open In Pipeline in the Queue, then ✎ Edit Details on the lead, type the right address in Email and click Save Details. See placeholder addresses.

The lead has no email address, replied, or is won or lost

The panel says Autopilot will not send it because this lead has no email address, this sequence is paused because they replied or this lead already replied. Once a reply is captured, the sequence stays paused, even if you draft new emails. Autopilot also ignores leads marked won or lost. To find an address, see getting an email for a lead.

Your Sending Hours are closed

Nothing sends outside your Sending Hours, and the bar near the top of the Queue says Autopilot is outside your sending hours; it resumes from and the time. Until you set your own, the hours are 13:00 to 21:00 UTC, Monday to Friday. Autopilot runs every 10 minutes, so an email approved just before closing can wait for the next sending day. Today's ramp allowance is used

Autopilot sends at most your daily ramp allowance: 20 a day in the first week after your first approval, 40 in the second, 75 in the third, then 100. The rest wait until midnight in your Sending Hours time zone. See the daily allowance.

No mailbox has room

Each mailbox has a daily cap, shown in Settings as, for example, 30/30 sent today. When every active mailbox is full, Autopilot waits for the next day. A send your mail provider refuses stays approved and is tried again on the next run, and 3 failures in a row pause that mailbox. If no mailbox is active, the Queue shows Autopilot is switched on but cannot send. See why.

The follow-up is not due yet

A follow-up counts from the last email in the sequence that actually went out: day 3 is due 3 days after the opener, and day 7 is due 4 days after day 3 (7 days after the opener if day 3 has not gone out). No follow-up goes before the opener; until it does, the panel says after the day 0 email goes out (approve or skip it first). See how far apart the emails go.

Send it yourself instead

If you know the address works, or you do not want to wait, send the email with Copy Text, Open In Gmail, Open In Outlook or Open In Mail App, then click Mark As Sent. Autopilot then leaves that email alone. See sending from your own inbox.
