How do I send an approved email from Gmail, Outlook or my mail app and mark it sent?

In the Outreach Queue, click Approve + Gmail, Approve + Outlook or Approve + Mail App. The draft is approved and a compose window opens with the lead's address, the subject and the body already filled in. Send it there, then come back and click Mark As Sent: the email is recorded as sent, the lead moves to Contacted, and the next follow-up is timed from that moment.

Steps

  1. Open the Outreach Queue from the sidebar and go to the lead. Pick the email with the day tabs (Day 0: Opener, Day 3: Bump, Day 7: Breakup).
  2. Edit the subject or body if you want. Your edits go into the compose window and are saved with the approval.
  3. Click one of these buttons: - Approve + Gmail opens a Gmail compose window in a new tab. - Approve + Outlook opens an Outlook on the web compose window in a new tab. - Approve + Mail App hands the email to the default mail app on your computer or phone. - Approve + Copy copies the email instead, as a Subject: line, a blank line and the body, so you can paste it anywhere. The button shows ✓ Copied.
  4. Check the email in your mail client and send it.
  5. Back in the Queue, click Mark As Sent in the Approved, not sent. panel under the draft.

Once an email is approved, the buttons change to Copy Text, Open In Gmail, Open In Outlook and Open In Mail App, so you can open it again if you closed the window. Approving again is not needed.

What Mark As Sent records

  • The email is stamped as sent with the date and time, and its text is frozen. The panel changes to Sent from your inbox.
  • The lead's trail gets an entry such as Day 0 email sent from Gmail (you marked it sent). It names the mail client you opened it in, or says your own inbox.
  • A lead still in Working moves to Contacted.
  • The next email in the sequence is timed from this moment: the day 3 email is due 3 days after the opener went out, and the day 7 email 4 days after the day 3 email went out. See how the days are spaced.
  • The send is counted in sent today on the Today's send ramp line at the top of the Queue.
  • Outreach Autopilot never sends an email you have marked sent.

If you edited the text after approving and did not save, those edits are saved with Mark As Sent, because what you sent is what should be on record.

Copying an email or opening it in Gmail, Outlook or your mail app never changes the lead's status. Legiit Leads cannot see your sent folder, so until you click Mark As Sent the email stays Approved, not sent and the lead stays in Working.

If something does not work

  • The Gmail, Outlook and Mail App buttons are missing. The lead has no email address yet. The Queue says so, and you can still use Approve + Copy to send the text another way. See how to get an email address for a lead.
  • Your browser blocked the clipboard. You see Your browser blocked the clipboard. Select the text and copy it by hand; the approval still goes through. Select the subject and body in the Queue and copy them yourself.
  • You are asked to Approve anyway? Today's send ramp allowance is used up, and no compose window opens unless you confirm. See the daily allowance.

Good to know

  • With Outreach Autopilot off, a lead stays in the Queue while it has an approved email waiting to be marked sent, so you can come back to it.
  • If Autopilot skipped an email because the address failed the mail-server check, the red Approved, but Autopilot skipped it. panel has the same Mark As Sent button for when you send it yourself.
  • The one-off Cold Email (personalized to this audit) in the lead panel works the same way: send it with Copy, Open In Gmail, Open In Outlook or Mail App, then click its own Mark As Sent.
