When will Autopilot send the email I just approved?
Look at the blue Approved. panel under the email in the Outreach Queue: it says exactly when. If your Sending Hours are open, Autopilot sends it on its next run, within about 10 minutes; if they are closed, the panel names the day and time they next open, for example Wed, Sep 10, 9:00 AM (Europe/London), and it goes on the first run after that. There is nothing else for you to do.
What the panel can say
The panel starts Approved. Outreach Autopilot will send this from your connected mailbox, followed by one of these:
- on its next run, within about 10 minutes: your Sending Hours are open now. Autopilot runs every 10 minutes.
- from a day and time: your hours are closed right now, or the email is a follow-up that is not due yet. It goes on the first run after that time.
- on its next run if one lands before your hours close, otherwise from a day and time: you approved it in the last 10 minutes before your hours close. It goes today if a run lands in time, otherwise when your hours next open.
- after the day 0 email goes out (approve or skip it first), or the same for day 3: this is a follow-up, and the earlier email it names has not gone out yet.
The first three end while today's ramp allowance and your mailbox's daily cap have room. If today's allowance or every mailbox's cap is used up, the email waits for the next day. See how the daily cap works.
Outside your Sending Hours
Nothing goes out while your hours are closed. Your approval is kept, and the panel names the first day and time your hours open again. While approved emails are waiting, the Today's send ramp bar at the top of the Queue also reads Autopilot is outside your sending hours; it resumes from that time. Autopilot checks the time again right before each email, so nothing is sent after your hours close. See how to set your Sending Hours.
Follow-ups
The day 3 and day 7 emails also wait for their due time, counted from when the email before them actually went out, not from when you approved them. The panel names when it will actually go: that time, or the first time your Sending Hours open after it. See how far apart the emails are sent.
How you know it went
While approved emails are waiting, the Queue refreshes every 2 minutes. Once the email goes, the panel changes to a green ✓ Sent by Autopilot line with the sending mailbox and the time. For a lead with nothing sent yet, the Outreach Activity section you see when you open the lead shows the same timing, ending Nothing has gone out yet.
If you do not see the blue panel
- An amber Approved, not sent. panel means Autopilot will not send this email, and says why: for example, Auto-Send is off, no working mailbox is connected, or the lead has no email address. See why the Queue says Autopilot cannot send.
- A red Approved, but Autopilot skipped it. panel means the address failed the mail-server check. Autopilot re-checks on every run and sends if the check passes. See why Autopilot skipped an email.
