What is a mailbox's daily cap, and which mailbox does Autopilot send from?
Each connected mailbox has its own Daily cap for this mailbox: the most cold emails Outreach Autopilot will send from it in one day, between 5 and 100, with 30 as the default. Before every send, Autopilot picks the connected, unpaused mailbox with the most room left under its cap today, so your emails rotate across your mailboxes. When every mailbox has reached its cap, Autopilot stops sending until the next day.
Setting the cap
- Open Settings and find the Outreach Autopilot card.
- Click + Connect A Mailbox and fill in the mailbox details.
- In Daily cap for this mailbox, type a number from 5 to 100. The box starts at
30, and a blank box also gives 30. - Click Connect And Verify.

Which mailbox sends each email
Before each email, Autopilot looks at every mailbox on the card that shows CONNECTED and has not reached its cap. A mailbox marked PAUSED is skipped. Autopilot sends from the one with the most room left, which is its cap minus what it has sent today.
For example, if mailbox A has a cap of 50 and has sent 10 today (40 left), and mailbox B has a cap of 30 and has sent 5 (25 left), the next email goes from mailbox A.
Once an email has gone, the Outreach Queue shows it as Sent by Autopilot followed by the address of the mailbox that sent it.
When every mailbox is full
- Autopilot sends no more cold emails that day. Your approved emails stay approved and wait.
- The counts reset at midnight in your Sending Hours time zone (UTC if you have not set your own hours). Sending then picks up on the first run inside your Sending Hours.
- Connecting another mailbox, or clicking Resume on a paused one, gives Autopilot room again on its next run. Autopilot runs every 10 minutes.
- Reply Autopilot picks its mailbox the same way, so while every mailbox is at its cap, interested replies wait to be answered too. Its answers are not added to the sent today count.
The workspace ramp still applies
On top of the mailbox caps, Autopilot never sends more in a day than your workspace's ramp allowance: 20 a day in the first week after your first approval, 40 in the second week, 75 in the third, then 100. The ramp counts every Autopilot send in your workspace together, so connecting more mailboxes does not raise it. Autopilot stops for the day at whichever limit it reaches first. Good to know
- You can connect up to 10 mailboxes. Trying to connect an 11th shows Mailbox limit reached (10).
- There is no way to edit the cap of a mailbox that is already connected. To change it, click Remove next to the mailbox, confirm, and connect it again with the new number.
