Why is a hot lead with the flame not showing in my Outreach Queue?
The flame only changes the order of the Outreach Queue; it never adds a lead to it. A lead is listed only when it is open (not won or lost), has an email address (or you clicked Show Them Anyway) and still has work waiting for you. To work a hot lead the Queue leaves out, click Open Drafts → on its Pipeline card: the Queue shows it anyway, flame included, with a note explaining why it was not listed.
Why a hot lead is left out
The Showing N of your M leads line above the lead counts each of these reasons:
- No email address. Counted as have no email address yet. Click Show Them Anyway to add these leads to the list. See how to get an email address for a lead.
- Marked won or lost. Counted as are won or lost. Closed leads never appear in the Queue on their own.
- Nothing left to do. Counted as are fully approved or skipped. Work means no sequence drafted yet, a draft to approve, or an approved email you still have to send yourself. When Outreach Autopilot is on with a verified, active mailbox, sending approved emails is Autopilot's job, so a lead whose remaining emails are all approved leaves the list.
Open the lead anyway
- Open the Pipeline and find the lead's card.
- Click Open Drafts →. It reads Draft Emails → when nothing has been drafted yet.
- The Queue opens at that lead. A note starting Opened from the Pipeline: gives the reason it is not normally listed.
You can also click Open Drafts In Queue (or Draft Emails In Queue) in the Outreach Activity section of the lead panel, which works from your search results too, or click the lead's name on the reading their audit card in the Dashboard's Today panel. If the lead should be listed
- The Queue re-sorts when it reloads its list: when you open it, when you come back to its browser tab, and every 2 minutes while Autopilot has approved emails waiting to go. If the prospect opened their page while you were on the Queue, switch tabs and back, or reload.
- The lead you are working on stays on screen when the list re-sorts, so a newly hot lead can jump ahead of it and your position line goes from Lead 3 of 12 to Lead 4 of 12. Click ← Prev as many times as it takes to reach the lead that jumped ahead, nearer the top of the list.
- The flame lasts 48 hours after the last open. After that the lead goes back to its usual place.
