Why did a forwarded reply not land on the lead?
Usually Legiit Leads could not match the reply to one of your leads, so it was not attached to any lead (or it went to a newer copy of the same business). The most common causes are that the prospect wrote from an address that is not on the lead, or the forward lost the prospect's From: line. Paste the reply into the lead with 📥 Paste a Reply instead, and make sure the prospect's email address is on the lead so the next forward matches.
How a forwarded reply is matched
- Who is the prospect? If the forward comes from the email you log in with, or from a mailbox connected in the Outreach Autopilot card, Legiit Leads reads the prospect's address from the first
From:line in the forwarded text. From any other address, whoever sent the forward is treated as the prospect. - Exact match. That address is looked up among the emails saved on your leads and the owner emails found by Owner Hunter.
- Same domain. If nothing matches exactly, it looks for a lead with an email address or website on the same business domain. This step is skipped for gmail.com, yahoo.com, outlook.com, hotmail.com, aol.com and icloud.com addresses.
Only your 2,000 most recently added leads are checked.
Common reasons
- The prospect used a different address. For example, you emailed the business's info@ address and the owner answered from a personal Gmail address. Addresses at gmail.com, yahoo.com, outlook.com, hotmail.com, aol.com and icloud.com are never matched by domain.
- The forward came from an address Legiit Leads does not know, such as a second personal inbox, or a team member's own login email. Only the account owner's login email and connected mailboxes are recognised.
- The prospect's From: line was missing. This happens if you forwarded as an attachment, copied the text into a new email, or deleted the quoted header.
- The capture address was not in the To line. A copy sent by Cc or Bcc is ignored, and so is a mistyped address (use Copy in the Reply Capture Address card in Settings). The same happens with an automatic forwarding or redirect rule that keeps your own address in the To line. Use a rule that forwards to the capture address, then test it with one reply.
- The email had no text in it. A message with no written content is skipped.
- It landed on another copy of the lead. If the same business came up in more than one of your searches, the reply goes to the most recently added copy. Check the newer one.
There is no on-screen notice when a forward cannot be matched. If a reply has not appeared on the lead within a couple of minutes, paste it in.
What to do
- Open the lead and paste the reply with 📥 Paste a Reply. Pasting always works.
- If the prospect wrote from a new address, open ✎ Edit Details on the lead, enter it in Email and click Save Details. It becomes the lead's main address, so your drafts and Autopilot send there from now on, and future forwards from it match. The lead's other addresses stay on it. Editing a lead's details.
- For the next reply, use a normal forward from your login email or a connected mailbox, with the capture address in the To line.
