What does the AI use when it writes my email?

Writing Emails With AI · Updated September 23, 2026

The AI writes only from a fact sheet built from that lead's verified audit: the problems found, the decision-maker's name when one is known, and the real AI answer that left the business out. It combines that with what you sell from My Services, your offer and your Writing Style rules from Settings. Nothing else about the business is given to it, so the facts it cites come from real checks of that business.

What the AI knows about the business

  • The business name, category and address, and its Google rating with the number of reviews.
  • Its website, or the fact that it only has a Google Maps listing.
  • From the website audit: no SSL, the homepage load time, which pages were checked, an out-of-date copyright year in the footer, what the site is built on, and Google's PageSpeed mobile score when it has been run.
  • Missing features such as no online booking, no chat widget, no analytics, no contact form or no schema markup, with the audit's own evidence. These are only passed on when that problem is on the lead's verified problem list.
  • The domain's expiry date and the days left, when the lead carries the Domain expiring soon finding, which is added only when the domain runs out in 45 days or fewer. Remove that finding and the AI stops seeing the date too.
  • Where the business ranks on Google for the search its customers make, and whether it is in the local map pack.
  • The decision-maker's name and role, when 🎯 Hunt Owner found one or you typed a Contact First Name in ✎ Edit Details. The AI is told to greet them by first name.
  • The AI check: when the AI assistant's answer left the business out, the exact question asked and up to 3 businesses it recommended instead. When the business was named, the AI knows that too.
  • The list of detected problems.

What the AI knows about you

  • Your Name and Company Name from the Your Agency card, so it knows who the email is from.
  • What you sell: your Active services from My Services with their prices and description lines, then anything in Anything else about your offer (optional). See how My Services shape the pitch.
  • Your Writing Style rules: voice, greeting, call to action, signature, banned phrases, word limit and extra rules. See making the AI write in your voice.

Good to know

  • Hints in the Worth a look, not verified box are not on the problem list the AI sees, and neither is a finding you removed with Something not accurate?. This is the zero fabricated data rule at work.
  • If a lead was audited by an older version of the website checks, its site is checked again once before the AI writes a cold email or sequence, so the email is not built on the older results.
  • The same fact sheet feeds 3-touch sequences, reply drafts, AI Pitch Strategy and the call brief, not just the single cold email.
