What emails go out when a prospect books a call from my proof page?
Four emails in total, two straight away and two before the call. The moment a prospect picks a slot, you and they both get a confirmation with a calendar invite attached, and about 2 hours before the call you both get a reminder. Your reminder carries the AI closing brief for that lead when one has been written.
The two confirmations
Yours: the subject is a calendar, then the business name, booked a call: and the time, for example a calendar then Smith Dental booked a call: Wednesday, March 4 at 2:00 PM EST. Inside are the person's name, their email address, the business, and the time they booked from their audit page. It also tells you their closing brief will be in the app an hour before the call. The calendar invite is attached, and the Open the Lead button takes you to your Outreach Queue.
Theirs: the subject reads Confirmed: call with your sender name and the time. Inside is the time, how long the call is, who it is with, and the same calendar invite attached.
All times in both emails are written in the Timezone you picked in the Book-a-Call on Your Proof Pages card in Settings, with the zone shown next to the time, so nobody has to guess.
The two reminders
About 2 hours before the call:
- You get
Reminder: call withthe business name and the time. If a closing brief exists for that lead, it is included in the email itself and the subject ends with(closing brief inside). If there is no brief yet, the email points you to the lead's evidence and pitch brief in the app. Either way there is an Open the Lead button that opens the lead in Pipeline. - The prospect gets
Reminder: your call atthe time, naming who the call is with.
Each booking is reminded once, so a reminder never arrives twice for the same call.
What else the booking changes
A booked call is treated as a reply-level signal, so a lead sitting in Working or Contacted moves to Replied, and the lead's activity trail records They booked a call with the date and time. A closing brief is written for the lead in the background right after the booking, which is why it is usually ready in time for your reminder.
Which slots a prospect can pick
The picker only offers times inside your booking availability, up to 10 days ahead, and never sooner than 2 hours from now. If two people pick the same slot at the same time, the second one sees That time was just taken. Pick another slot.
These emails come from the built-in slot picker. If you pointed the booking block at your own Calendly or Google booking link instead, the booking happens in that tool and its confirmations and reminders come from there.
