Why did a lead move to Contacted, Replied or Won by itself?

Pipeline stages follow real events, so a card moves when something actually happens with that lead: an email goes out or a call is logged (Contacted), the prospect replies or books a call (Replied), or they accept your proposal (Won). Approving a draft never changes the stage. Open the lead and look at Outreach Activity to see which event moved it.

What moves a lead to Contacted

This only happens to a lead in Working (status New), when:

  • Outreach Autopilot (Agency Pro and Agency Empire) sends one of its emails from your connected mailbox.
  • You send an approved email from your own inbox and click Mark As Sent in the Outreach Queue.
  • You send the lead panel's one-off cold email from your inbox and click Mark As Sent under it.
  • You log a call in Call Mode. Any outcome counts as contact, and 🔥 Interested or Not Interested move it further (see below).

What moves a lead to Replied

This only happens to a lead in Working or Contacted, when:

  • A reply from the prospect is captured, whether you pasted it with 📥 Paste a Reply or it reached your Reply Capture Address.
  • The prospect books a call from their proof page.
  • You log a call with 🔥 Interested.

What moves a lead to Won

The prospect accepts your proposal on their proof page. If you asked for payment at acceptance, this happens once the payment is confirmed. An accepted proposal moves the lead to Won from any stage.

What does not move a lead

Find the cause on the trail

Open the lead and read Outreach Activity, newest first. It shows the 6 most recent entries at first. To see the rest, click Show All, which also shows how many entries there are.

  • An email going out appears as the send, for example Day 0 email sent by Autopilot from you@youragency.com or Day 0 email sent from Gmail (you marked it sent), next to Moved to Contacted.
  • A reply, a booked call, a logged call or an accepted proposal is its own entry, for example They replied (interested), They booked a call for ..., You called: interested or Proposal accepted by .... These do not add a separate Moved to line.
  • A Moved to line with no send next to it means the card was moved by hand, by dragging it or clicking a status pill.

Good to know

  • A lead can also move to Lost by itself: when a captured reply is labelled as an unsubscribe, or when you log a call with Not Interested. Neither applies to a lead that is already Won.
  • Once a lead has moved past Working, it shows on the Pipeline board even if you never added it.
