How do I limit what a team seat can do?

Every team seat is set to either Full access or Outreach only, and you change it from the dropdown on that person's row in the Team Seats card in Settings. Outreach only lets someone work leads all day without being able to change your settings, your mailboxes, your clients, your markets or your playbooks. Only you, the account owner, can set it.

Steps

  1. Open Settings from the sidebar and scroll to the Team Seats card.
  2. Find the person's row. Between their name and the red Remove button there is a small dropdown showing the level they are on now.
  3. Choose Full access or Outreach only. It saves as soon as you pick it, the list refreshes, and the new level applies to that person from their next click.

Every seat you already had is on Full access, and a new invite starts there too, so nothing changes for your team until you pick Outreach only for someone. Your own access as the account owner is not touched either way.

What an Outreach only seat can still do

All of the day to day lead work:

  • Running searches, and reading everything in the workspace: leads, search history, clients, markets, the pipeline and the audit evidence.
  • The Outreach Queue: drafting, approving, Mark As Sent, sending, and handling replies.
  • Call Mode.
  • Email templates, including choosing the default template for a day of the sequence.
  • Editing a lead's details, building proposals, and booking calls.

What an Outreach only seat cannot do

Anything that reshapes the workspace. Moving someone to Outreach only does not hide anything from them: they see the same pages and the same buttons a full access seat sees, and the refusal comes when they try to act. The refusal reads: Your seat is set to outreach only. Ask the account owner to change it. It appears in red beside the button that was pressed, or at the top of the page.

It covers:

  • The saves on the Settings page itself: Save Settings for your agency profile, Save Branding for your logo and colour, Save Sending Hours and Use The Default for your sending hours, and the Auto-Send, Send Me A Copy and Reply Autopilot tick boxes in the Outreach Autopilot card.
  • Connecting, changing or removing a mailbox.
  • Adding, checking or removing your own domain.
  • Ticking or unticking Turn on my audit page in the Your Branded Audit Link card.
  • Creating a client, or changing one.
  • Claiming, scanning, pausing or removing a monitored market.
  • Publishing a playbook, taking one off the market, or installing one.
  • Buying or releasing a call tracking number.
  • Deleting a search from your history.
  • Find My First Leads at the end of the setup wizard.

Good to know

  • Only the account owner sets this. Team seats do not see the Team Seats card in Settings at all, so a seat cannot change their own level, or anyone else's.
  • The Your Account card at the top of Settings stays theirs. Someone on Outreach only can still use Save Name, Change Email and Change Password there to look after their own login.
  • Two cards on that page are yours whatever level a seat is on, and they answer differently. Connect Twilio in the Call Tracking card tells any seat Carrier credentials are managed by the account owner., and Connect Stripe in the Get Paid card simply does not open Stripe for them.
  • Everything a seat does is still recorded against your workspace rather than against the person, so nothing in the app shows you which seat ran a search, sent an email or edited a lead. Outreach only limits what someone can do. It is not a record of who did what.
  • A seat on Outreach only still works through your plan: their searches and their sends count against your monthly allowance exactly as before.
If you want the access gone rather than narrowed, remove the seat. That deletes the login instead of limiting it.
