How are tracked calls recorded and classified, and where do I see them?

Every call to a Ring Proof tracking number is forwarded to the client's real line and recorded from the moment it is answered. When the recording is ready, it is transcribed on your Twilio account and an AI reads the transcript and files the call as booked, real job, junk or other. You see the result under Recent calls on the Ring Proof card on that client's page.

What happens to a call

  1. Someone dials the tracking number. Legiit Leads logs the caller's number and the time.
  2. The call is forwarded to the number in Forwards to (their real number) and recorded from the answer, so ringing time is not recorded.
  3. When the call ends, its length is saved against the record.
  4. The recording is transcribed through Twilio on your own account.
  5. The AI reads the transcript and adds a classification and a one line summary.

Calls to a number that is not one of your tracking numbers are turned away rather than forwarded.

What the classifications mean

  • booked: a time or a commitment was actually agreed on the call. The AI is told to be strict about this one.
  • real job: a genuine customer enquiry that has not been booked yet.
  • junk: spam, a robocall, a wrong number or someone selling something.
  • other: unclear, or not a customer at all.

What you will see

The list is headed Recent calls with a count in brackets, for example Recent calls (4 real of 11). Real means booked plus real job, so it is the number worth quoting to the client.

Each row shows the caller's number, or Unknown when the caller withheld it, then the date and time, how long the call lasted, a coloured badge with the classification and the one line summary underneath. Where there is audio, a ▶ Recording button opens it in a new tab so you can listen.

The card shows the 50 most recent calls for that client, newest first.

If a recording will not play

If nothing happens when you click ▶ Recording, and no new tab opens, Legiit Leads could not fetch the audio from your Twilio account. That usually means your Twilio account is no longer connected, or Twilio would not hand the audio over. Check the Call Tracking card in Settings, then try again.

Good to know

  • A very short transcript, under 10 characters, is not sent for classification, so a call that was answered and hung up straight away shows with no badge and no summary.
  • If the transcription or the AI step fails, the call still appears with its time, its length and its recording. Only the badge and summary are missing.
  • The call list lives on the client's page. It is not part of the client portal or the monthly report, so your client does not see it unless you show them.
  • Twilio bills the minutes, the recording and the transcription to your own account. The card shows how long a call lasted, not what it cost, so check your Twilio invoice for that.
  • Ring Proof needs Agency Pro or Agency Empire.
